Executive Assistants Shelter-afrique is a leading pan -African Development Finance Institution that is dedicated to investment in housing and urban development in Africa.
The company provides advisory services and project management services for delivery of large scale affordable housing projects, as well as lines of credit to financial Institution to finance access to affordable housing in 44 African countries.
The Company has Its Head Office In Nairobi and a network of Regional Offices in Abuja, Abidjan and Nairobi.
Overall Purpose Executive Assistants will be deployed to offices of Company Senior Executives including Managing Director and Company Secretary.
Executive Assistant will be responsible for providing administrative support to the assigned Executive Office and a primary internal and external contact for the Office.

Key responsibilities will Include:
  • Update the Executive's daily schedule, prepare meeting's agenda and provide background information;
  • Read documents, carry out research, compile and analyze relevant information; and draft letters, documents, presentations and other communications from the Executive Office; 
  • Maintain the Executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Draft, transcribe, take dictation, type correspondence and reports;
  • Coordinate document movement from the Executives' Office to relevant parties for appropriate action, f allow up, and report on progress;
  • Maintain effective filing and record management system for Executives Office and ensure safety, security and confidentiality; 8) Attend to internal and external visitors to the Executive Office;
  • Maintain office supplies and inventory for the Executive Office;
  • Manage executive communication Including taking calls, responding to emails and taking messages for the Executives' action;
  • Assist with budget preparation and management of Executive Office imprest;
  • Coordinate travel arrangements for the Executive;
  • Act as the liaison for the Executive Office by relaying of information in a timely and effective manner;
  • Perform any other duties as may be assigned from 
    time to time.

    Minimum Qualifications,Skills and Competencies
  • A minimum of Bachelor's degree in Business Administration; 
  • A minimum of four (4) years of related work experience supporting Executive Offices; Knowledge of administrative and clerical procedures and systems such as managing files and records, transcription, designing forms, and other office procedures;
  • Must demonstrate ability to work independently with minimum supervision; Must demonstrate commitment to operational effectiveness; 
  • Should have ability to solve problems by applying relevant business knowledge;
  • Should demonstrate professional expertise in the relevant work area; Should have ability to carry out independent research and initiate official documents, reports, and presentations. Must have the ability to communicate for both written and oral communication Must be able to work under pressure Most be bilingual in French end English. Must have knowledge in use of MS office packages including advanced word, PowerPoint and excel
